The Salesforce data migration template

One row per field. Fill it in for every field you want to keep, and the load files almost write themselves. Sample values only.

The 12 columns

1
Source system
Where the data comes from: an old CRM, a spreadsheet, an EMR export.
2
Source object
The table or tab in that system, like Contacts or Notes.
3
Source field
The column name exactly as it appears in the export.
4
Sample value
One real-looking value, so everyone agrees on the format.
5
Salesforce object
Where it lands: Lead, Contact, Account, Opportunity or a custom object.
6
Salesforce field (API name)
The exact field, by API name, so the load file matches.
7
Field type
Text, picklist, date, lookup, long text. Decides how the value is loaded.
8
Required
Whether Salesforce needs a value, and what to use when the source is blank.
9
Transform / cleanup rule
Trimming, formatting phones, proper case, splitting names, dropping bad emails.
10
Picklist mapping
Old value to new value, for every value in the source.
11
External ID / match key
The old record ID or match fields, so loads can be re-run without duplicates.
12
Notes
Anything the next person needs to know about this field.

Inside the Salesforce data migration template

The template is a workbook, not a single sheet. The first tab lists every Salesforce object in load order, with its source, its External ID field and its owner rule. Each object then has its own mapping tab.

A mapping tab has one row per field: the source field and a sample, the Salesforce field API name, its type and length, whether it is required, the default when the source is empty, and the rule that turns one into the other. Lookup rows name the parent object and the External ID used to find it.

Picklists and users get their own tabs, because they cut across every object. A last tab holds record counts, source against loaded, so the check after the load is written before the load starts.

What's included

What Salesforce data migration template includes

Load order tab

Every object in the order it loads, with its source file, External ID field and owner rule.

Field mapping tabs

One per object: source field, sample value, Salesforce field, type, length, required, default and transformation rule.

External ID columns

Which field holds the old system ID on each object, and which External ID each lookup uses to find its parent.

Picklist tab

Every distinct source value for every picklist, the Salesforce value it maps to, and the record types that allow it.

Users and owners tab

Every source owner matched to a Salesforce user, with active or inactive status and the fallback owner for anyone not coming over.

Created dates

For each object, whether the original created date is set on insert or held in an "Original Created Date/Time" field.

Activities and files

Where notes, calls, texts and emails land, including a custom activity object for long call notes, and which files go to Salesforce Files.

Record counts tab

Source count, loaded count and failed rows per object, with a reason for every failure.

Open questions tab

Every decision the business still owes, who owns it, and the answer once given.

Sign-off

Who approved each tab, so nobody is guessing what was agreed.

Working with us

Salesforce data migration template FAQ

Is the template in Excel?

It works in Excel or Google Sheets. We use whichever your team reviews in.

Can I download the template?

Yes. Download the CSV above and fill in one row per field. On a free call we can walk through it with you, and in a project we fill it in for your data.

Why a separate picklist tab?

The same picklist can appear on several objects and record types. One tab keeps every value mapped once and used everywhere.

What goes in the users tab?

Every owner in the source, the Salesforce user they map to, whether that user is active, and who owns records for people not coming over.

Who signs it off?

The people who use the data, object by object. Once signed, the load follows it.

How is it priced?

By project, not by the hour. The first call is free, and you get a project quote after it.
