Journeys Through Search

Salesforce for behavioral healthSalesforce built around admissions, from the first call to alumni

Addiction treatment and mental health centers run on a handful of systems: call tracking, insurance verification, the EMR, a CRM and spreadsheets in between. We set up Salesforce so the whole patient journey lives in one place, and every team can see what happens next.

  • Calls, forms and texts land on the right lead, with the source attached
  • VOB, pre-admission assessment and admit flow into Kipu or Sunwave
  • Discharges, alumni outreach and re-admits tracked without duplicates

Sound familiar?

Where treatment centers lose patients and data

The tools work. The trouble is in the gaps between them.

Admissions works in five tabs

The call is in call tracking, the VOB is in an email, the assessment is a PDF and the patient is re-typed into the EMR. Nobody sees the whole picture.

Nobody knows what turned into an admit

Without admit and discharge data back in the CRM, lead-to-admit by source, campaign or referral partner is a guess.

Alumni and re-admits fall through

Discharged patients drop out of sight, outreach depends on memory, and a returning patient becomes a duplicate record.

What we build

The patient journey, built into Salesforce

Click through each step to see where centers lose time or patients, and what we build there.

Step 1 · Inquiry

Every call, form and text on one record

Inquiries come in by phone, web form, chat and text, including after hours. If they do not land on the CRM record with their source, admissions starts blind.

What we build

  • CallTrackingMetrics calls and texts logged on the lead, with campaign and source
  • Inbound text alerts inside Salesforce, and texting from the record with templates and scheduled sends
  • Text opt-in and opt-out tracked on the record, so only approved contacts get texts

Who it helps

What each team sees

Admissions

Every inquiry, VOB status and next step on one screen, with one click into the EMR.

Business development

Referral sources ranked by admits, overdue tasks, a map of active referral accounts, Outlook calendar sync and Salesforce on their phone.

Marketing

Lead-to-admit by campaign and source, and admits sent back to the ad platforms.

Alumni and outreach

Who is due for a call, what happened last time, and which alumni came back.

Leadership

Admit and discharge reporting by facility, and KPIs like VOB ran to VOB accepted.

The numbers that matter

  • · Lead-to-admit rate by source, campaign and referral partner
  • · VOB ran to VOB accepted
  • · Admits and discharges by facility and level of care
  • · Referral partner ranking by admits
  • · Alumni touchpoints overdue
  • · Re-admits from alumni outreach

The real thing

From a live build

Screens from a treatment center client, with every name, date of birth and record number replaced.

Admissions actions on the record. Verify benefits, send the assessment for review, send the admit alert and welcome email, re-admit or refer out from one menu. Texting with templates and scheduled sends sits right below.
VOB to admit. Insurance cards and the VOB PDF on the record, a VOB request to the external team or a Teams alert to admissions, then Send to Kipu with the files attached.
Nothing slips through. Patients admitted in Kipu with no Salesforce record, with suggested matches to accept, link or create in one click.

The real thing

Admissions and marketing dashboards

We work with TrussCharts (trusscharts.com), our sister company, to build dashboards on the data we connect. Client names and locations are replaced.

  1. 1Today at a glance

Calls in queue right now, across the top. Missed calls, admits, and arrivals today. Leads to opportunities to admits, and calls by hour. (client dashboard, names replaced)

  2. 2How many opportunities become admits

Opportunity-to-admit % by month. A three-month average line. Dips are easy to see. (client dashboard, names replaced)

  3. 3Which referral sources send admits

Every referral source in one table. Leads, opportunities, and admits per source. Conversion rates for each. (client dashboard, names replaced)

Salesforce for behavioral health FAQ

Do you sign a BAA?

Yes. We sign a BAA, limit each system to the access it needs and store credentials encrypted.

Which EMRs do you integrate with Salesforce?

Kipu and Sunwave, plus HiLite on the financial side and VerifyTX for insurance verification. If your EMR has an API, we can look at connecting it.

Can you work with the Salesforce org we already have?

Yes. We can work in the org you have: clean up the data, add the missing integrations and rebuild the reports.

How is it priced?

By project, not by the hour. The first call is free. If you want something specific first, we start with a 3-hour starter. Then you get a project quote.
