How a HubSpot to Salesforce data migration runs

  1. 1
    Export

Records and associations from HubSpot exports, activities and files through the API

  2. 2
    Map

Properties to fields, lifecycle stages and pipelines to Salesforce values

  3. 3
    Load

Accounts, contacts, opportunities, then activities and files, tested in a sandbox first

What HubSpot exports, and what has to be pulled

HubSpot's record export covers contacts, companies, deals, tickets, calls and custom objects, with their property values and associations, as CSV or Excel files. That gives us the records and which contact belongs to which company and deal.

Activities are a different story. HubSpot's own help pages say contact activities like calls and notes are not part of the standard export, and point to individual exports, activity reports or the engagements API. So notes, emails, calls and meetings are pulled through the API, with their dates and associations.

Files in HubSpot's files tool download one at a time, so files and attachments are pulled through the API too, then loaded into Salesforce Files on the record they belong to.

What's included

What HubSpot to Salesforce migration includes

Contacts

HubSpot contacts land as Salesforce leads or contacts, by a rule you choose, such as lifecycle stage.

Companies

HubSpot companies become accounts, with contacts linked by their HubSpot company ID.

Deals

Deals become opportunities on the right account, and each HubSpot pipeline and stage maps to a Salesforce stage and sales process.

Tickets

Tickets become cases where service history needs to come over.

Notes and emails

Notes and logged emails loaded as activities on the right contact, account or opportunity, with original dates.

Calls and meetings

Calls go to a custom activity object so long notes fit; meetings become events.

Files

Attachments pulled through the API and loaded into Salesforce Files, counted against file storage.

Properties and picklists

Custom properties mapped to fields, dropdown values mapped to picklist values, and anything without a home built in Salesforce first.

Owners and dates

HubSpot owners matched to Salesforce users, with inactive users for people who have left, and original created dates kept.

Duplicates

Merged before the load and caught after it by duplicate rules on phone and email.

HubSpot to Salesforce migration FAQ

Do HubSpot notes and emails come over?

Yes. They are not in HubSpot's standard record export, so we pull them through HubSpot's API and load them as activities on the right records with their dates.

Should HubSpot contacts be leads or contacts in Salesforce?

That is your call, and we help you make it. One way to split them is by lifecycle stage: people not yet qualified as leads, customers and qualified people as contacts on an account.

What happens to our HubSpot pipelines?

Each pipeline and stage maps to a Salesforce opportunity stage, with a sales process or record type per pipeline where they differ.

Do files and attachments come over?

Yes. They are pulled through the API and loaded into Salesforce Files on the right records.

Can we keep using HubSpot for marketing?

Yes. The migration can move the CRM data and leave marketing in HubSpot; we scope how the two should stay in step on the call.

How is it priced?

By project, not by the hour. The first call is free, and you get a project quote after it.
