In short
- Google Ads learns from the conversions you give it. If a form fill is the only conversion, it looks for more form fills.
- Capture the GCLID on every way people reach you: forms, calls and chats.
- Pick the outcomes that mean real progress, such as an assessment or a closed sale, and send each as its own conversion action.
- Check the uploads. A broken upload looks the same as a quiet week.
What an offline conversion is
An offline conversion is a result that happens after the click, away from your website. A phone call that books an assessment, an admit, a signed contract or a sale closed by a rep.
Google Ads sees the click and, with a tag, the form fill or the call. It does not see what happens next in your CRM. An offline conversion is that later result, sent back to Google Ads and matched to the click that started it.
Why bidding on clicks fails for call and lead businesses
Smart bidding in Google Ads learns from the conversions you count. If every form fill counts the same, a spam lead and a new customer look identical to Google. It finds you more form fills, not more customers.
For a business where the sale happens on the phone or after a follow-up, that gap is large. The keywords that produce real customers and the ones that produce junk can cost the same per lead, and you cannot tell them apart from inside Google Ads.
Offline conversions close the gap. Google learns which clicks became customers, and you can see which keywords and ads bring in the leads worth having.
What to capture
Matching a sale to a click needs the click ID. With auto-tagging on, Google Ads adds a GCLID to the landing page URL. Your job is to keep it until the sale happens.
- The GCLID, in a hidden field on every form, saved to its own field in the CRM.
- GBRAID or WBRAID as well. Google can pass these in place of a GCLID on some iOS traffic.
- The same click data on calls and chats. Call tracking tools such as CallTrackingMetrics can pass it to the CRM with the call.
- UTM parameters and the landing page, so your own reports show the source too.
- The click ID carried from the lead to the deal or opportunity, so a later sale still has it.
- The outcome itself: which stage was reached, and when.
Choose which outcomes count
Not every CRM update is a conversion. Pick the stages that mean real progress for your business, and give each one its own conversion action in Google Ads.
- A qualified lead, an assessment, an admit or a closed sale can each be a separate action.
- Choose which actions Google bids toward. The others can stay in reports for reference.
- Write the rules down: which stage counts, on which record, and when it is sent.
- Change the rules when your process changes, or the uploads drift away from what your team does.
How the data gets back to Google Ads
Create the conversion actions
In Google Ads, set up a conversion action for imported conversions from clicks, one per outcome you chose.
Build the rows
Each conversion needs the GCLID, the exact conversion action name, and the date and time of the conversion with its time zone. A value and currency can go with it if you have one you trust.
Send them
Upload a file by hand or on a schedule, or send conversions through the Google Ads API from your CRM or an integration.
Check they landed
Look at the upload results in Google Ads, and compare the counts with your CRM.
File or API is a choice about how you want it run. We have set up both, depending on what the team wanted to maintain.

Mistakes we fix
- Forms that do not pass the GCLID, or pass it into the wrong field.
- Landing pages or redirects that rewrite the URL and drop the GCLID before the form sees it.
- Calls and chats with no click data, so only form leads can be matched.
- Every new lead sent as a conversion, which teaches Google to find more leads, not better ones.
- A conversion action name in the upload that does not match the one in Google Ads.
- No record of what was sent, so the same conversion goes up twice.
- Uploads that stop with no one noticing. Set up alert emails when an upload fails.
- Call tracking and CRM counts that do not agree. Compare them on a schedule.
Send only what Google needs
An offline conversion upload needs the click ID, the conversion action, the time and, if you use one, a value. Send the outcome, not the details: a conversion such as "Insured lead" or "VOB approved" is fine, but diagnosis, treatment and insurance plan details stay in your CRM. They have no place in an ad platform.
Doing this from Salesforce or Zoho CRM
The steps are the same in any CRM. What changes is where the GCLID is stored, which object holds the stage, and what runs the upload.

Respect privacy laws and cookie consent
Tracking only holds up if it respects the people you track. Privacy laws and browser rules keep tightening, and a cookie banner that does nothing is not enough.
- Ask before you track: analytics and ad cookies wait until the visitor accepts, with an easy way to say no.
- Use Google Consent Mode, so Google tags follow the visitor’s choice.
- Honor Global Privacy Control: a browser that sends it is treated as a no.
- Let visitors change their mind later, from a cookie settings link in the footer.
- Keep your privacy policy and SMS consent wording in step with what you collect and send.
This is how we set up tracking on our own sites and for clients. It is general guidance, not legal advice: check the rules that apply to your business with your legal team.
