In short
- Let Salesforce fields decide ActiveCampaign lists and tags, not manual imports.
- Map lead status and opportunity stage to segments, like "qualified but not converted".
- Keep the routing rules in Custom Metadata, so an admin can change them without code.
- Sync unsubscribes back to Salesforce, and match on email to avoid duplicates.
Why segment ActiveCampaign lists from Salesforce
A lead that went quiet and a closed customer should not get the same email. Salesforce knows the difference. ActiveCampaign only knows what Salesforce tells it.
When Salesforce drives the lists and tags, every status change moves the contact to the right segment, and your email follows the person through the funnel.
Segments built from Salesforce fields
- New lead, not yet contacted.
- Qualified, but not converted.
- Closed lost, but qualified: worth a follow-up series.
- Opportunity open, by stage.
- Customer or past client, for updates and referrals.
- Service line or location, from a picklist on the lead.
Each segment comes from fields Salesforce already has. No one has to tag contacts by hand.
Field mapping: Salesforce to ActiveCampaign
Contact fields
Email, first name, last name, phone and owner. Email is the match key in ActiveCampaign.
Status fields
Lead status and opportunity stage, sent as custom fields so you can filter on them.
Source fields
Lead source and the form or campaign the lead came from.
Owner fields
The rep name and email, so emails can go out with the rep’s signature.
Form fields
New form fields that matter for segments get mapped as they are added.

Keep the list routing rules in Custom Metadata
Hard-coded rules break when the business changes. Put them in a Custom Metadata Type instead: one record per rule, with the Salesforce field, the value and the ActiveCampaign list or tag.
- Rule: Lead Status equals Qualified and not converted, goes to the qualified nurture list.
- Rule: Opportunity Stage equals Closed Lost and the lead was qualified, goes to the win-back list.
- Rule: a service-line picklist value adds the matching tag.
Apex reads the rules when a record changes and calls the ActiveCampaign API. An admin adds a rule by adding a record, and it deploys like any other change.
Keep the sync clean
- Match on email before creating a contact, in both directions, so the sync does not create duplicates.
- Send unsubscribes back to Salesforce, so reps and other tools respect them.
- Remove tags that no rule sets anymore. Old tags make segments wrong.
- Log API errors on the record, so a failed sync gets noticed.
- Document the mapping, so the next person knows why each rule exists.
Healthcare: what not to send
Email marketing tools are not the place for clinical details. Segment on status, stage, source and service line, and keep diagnosis and treatment data in Salesforce.
