Bulk email Salesforce contacts: list views, list email and the setup behind them

Salesforce can send one email to a list of contacts or leads without another tool. It works well when the setup behind it is right: the list, the template, the From address and the domain records.

In short

  • Build a list view for each audience, then send list email from it.
  • Write a template with merge fields, and test it on a real record first.
  • Send from a verified org-wide email address, with DKIM and SPF set up on your domain.
  • Watch the daily limit of 5,000 external recipients per org, and use an email platform when you outgrow it.

Ways to bulk email Salesforce contacts

  • List email from a list view: select contacts or leads and send one email to each, in Lightning Experience.
  • List email to a campaign: send to the members of a Salesforce campaign.
  • An email marketing platform connected to Salesforce, for newsletters, drips and detailed tracking.

For a one-off announcement, an event invite or an outreach email from your team, list email does the job inside Salesforce.

1. Build a list view for each audience

The list view is your send list. Make one per audience, with filters you can explain, so the next send goes to the same kind of people.

  • Filter on fields, not hand-picked records: status, owner, lead source, location or a date field.
  • Exclude records marked Email Opt Out, and records with no email address.
  • Name it for the send, like "Alumni event invite" or "Open invoices", and share it only with the people who send it.

2. Write the email as a template

A Lightning email template keeps the wording, branding and merge fields in one place. Each recipient gets their own name and details filled in.

Match each merge field to a field that is filled in on the records you are sending to. A merge field on a blank field sends a blank. Our merge fields guide covers the syntax and the fixes.

3. Send from a verified org-wide email address

Bulk email from a shared address, like events@ or billing@, reads better than one rep's name and keeps replies in one inbox.

Add the address

In Setup, add an org-wide email address and choose which profiles can send from it.

Verify it

Salesforce sends a verification email to the address. Click the link before anyone sends from it.

Set up DKIM and SPF

Create a DKIM key in Salesforce and publish it in your DNS, and include Salesforce in your SPF record, so mail servers trust email sent for your domain.

Check the merge fields on a real record, then send.

Send a test to yourself first, from the same list view, with your own lead or contact record.

Salesforce bulk email limits

  • Salesforce allows mass email and list email to 5,000 external addresses per day per licensed org. The day runs on GMT.
  • Duplicate addresses count toward the limit.
  • You can send to contacts, person accounts, leads and your own users.
  • Developer Edition and trial orgs are limited much further.

Check the current limits for your edition in Salesforce Help before a large send.

Tracking opens on bulk email

List email opens show in the HTML Email Status report, not on each recipient's activity timeline. Pixel-based open tracking is imprecise, and it does not tell you which link someone clicked.

When to move to an email platform

  • You send to more than the daily limit.
  • You want drips and automations that react to what someone opens or clicks.
  • You need link-level clicks and campaign reports.
  • You want unsubscribes managed in one place and synced back to Salesforce.

We connect ActiveCampaign to Salesforce, with lists that follow Salesforce fields and unsubscribes that update the record. For healthcare, keep patient details out of bulk email content.
