A) Fix Missed Call Follow-Ups with Smart Dashboards
- Create a Dashboard: Integrate your phone system with your CRM to generate real-time reports showing 100% of missed calls.
- Task Creation: Each missed call should automatically create an Open/High Priority Task or put a Lead/Opportunity into a Red Flag status.
- Automation: If an inbound or outbound call is completed after a missed call, mark the task Completed/Normal Priority automatically and move back into a Green Flag status.
- Outcome: Your dashboard always reflects actionable missed calls.
B) Call Until They Answer or Close Out the Lead – Every Time
- Problem: There is not enough follow up / outbound calls or SMS on open Leads.
- Solution: Automate lead assignment for web form submissions and missed calls. Usually these would be in the integration user's name if automatically added to the CRM. So we make a rule where the first rep to perform an action on the lead (make a call, send an SMS, add a note, edit the Lead) becomes the Lead Owner.

- Design a Follow-Up Workflow: Build specific sequences for every stage in the lead and deal lifecycle. For example, you may want an outbound call once per day to Open Leads with Unknown Qualification. Or maybe someone is Closed Lost - but Qualified, and so you set up an automated email sequence to them once per month for 6 months, and 1 phone call at the end of the 6 months before finally closing them out.

D) Email + SMS Automation to the Rescue
- Segment & Drip: Use platforms like ActiveCampaign or Mailchimp - or the email platforms already in many CRMs - to drip educational, and sales emails based on lead status (e.g., New vs Qualified).
- Compliance Alert: If in healthcare, set up HIPAA-compliant SMS marketing.
- Smart Triggers: Switch drip campaigns as leads change status. Send reminders, testimonials, discounts.
- Post-Purchase: Turn on "Thank You," referral, and renewal campaigns.
- SMS Power: Use it to schedule calls, confirm interest, or close out cold leads faster.
- Email Closed Lost but Qualified: Set up email automation to email Opportunities that were once Qualified, but ended up as Closed Lost. So you can make a Closed Lost Reason field - and add in the common reasons, and set up email automation. Some Closed Lost Reasons you can email - (a) Went with a Competitor, (b) Couldn't Get Back on the Phone, (c) Long Term Pending, etc.
E) Task Automation that Works
- Daily Visibility: Agents should see tasks like "Overdue," "Due Today," and "Upcoming."
- Task Strategy: Tasks are created one at a time. Once one is completed, the next one is generated.
- Flexibility: If a client says "call back in 2 weeks," allow agents to adjust due dates manually.
- Goal: Keep agent focus tight, reduce overwhelm, and ensure nothing falls through the cracks.
