Salesforce admissions dashboard: a home page for each admissions rep

An admissions rep needs three answers when they sit down: what is happening right now, how am I doing, and who do I call next. A Salesforce admissions dashboard can answer all three, for that rep only. Here is how we lay it out and build it.

In short

  • Split the dashboard into three views: today, history and the rep’s open leads and opportunities.
  • Scope every chart to the logged-in rep, so one dashboard works for the whole team.
  • Put live data, like calls waiting in the queue, next to the Salesforce numbers.
  • Set it as the rep’s home page, so it is the first thing they see.

Why admissions reps need their own Salesforce dashboard

Team dashboards are built for managers. A rep looking at totals for the whole team cannot tell what they need to do next. A rep dashboard shows their own numbers and their own work.

One dashboard, scoped to whoever is logged in, means you build it once and every rep sees their own view.

Tab 1: today on the admissions dashboard

  • New leads assigned today, and the count already contacted.
  • Calls made and received, texts sent and received.
  • Calls waiting in the call queue right now, from the call tracking platform.
  • Tasks due today and overdue.
  • Benefits checks run today, by outcome: approved, not approved or pending.

Tab 2: historical admissions KPIs

  • Leads, qualified leads and admits by week or month.
  • Lead to admit conversion rate, for the rep and next to the team.
  • Speed to first contact on new leads.
  • Admits by lead source and marketing channel.
  • A date range filter that every chart follows.

Agree on the definition of each KPI before you build it. "Qualified" and "admit" have to mean the same thing in every report.

Tab 3: the rep’s leads and opportunities

  • Open leads with no contact yet, oldest first.
  • Opportunities by stage, with the next step and its date.
  • Leads and opportunities with no activity since a set date.
  • Pinned or flagged records the rep wants to keep in view.

How to build the admissions dashboard in Salesforce

Fix the data first

Make sure calls, texts and tasks are logged on the right records, with dates and types. A dashboard is only as good as the activities behind it.

Build the reports

One report per chart, filtered to "My" records, with the fields and groupings each chart needs.

Scope to the rep

Use a dynamic dashboard that runs as the logged-in user, or a Lightning Web Component that queries with the rep’s own sharing.

Add live widgets

A custom component can show data from outside Salesforce, like calls in queue from your call tracking platform.

Put it on the home page

Add the dashboard to the rep’s Lightning home page with App Builder, assigned by profile or app.

Set the refresh

Schedule the refresh, and send a daily summary report by email to managers.

Standard dashboard or LWC dashboard?

Standard Salesforce dashboards are quick to change and easy for admins to own. A Lightning Web Component dashboard can do more: tabs, live data from other systems, notes on charts and layouts reports cannot produce. We build both, and mix them on the same page.

Where to start

Ask your reps what they check first each morning, and build the today tab around it. Book a free call and we will plan your admissions dashboard with you.

The real thing

Admissions dashboards

We work with TrussCharts (trusscharts.com), our sister company, to build dashboards on the data we connect. Client names and locations are replaced.

  1. 1Today at a glance

Calls in queue right now, across the top. Missed calls, admits, and arrivals today. Leads to opportunities to admits, and calls by hour. (client dashboard, names replaced)

  2. 2How many opportunities become admits

Opportunity-to-admit % by month. A three-month average line. Dips are easy to see. (client dashboard, names replaced)
