In short
- Automate the handoffs: inquiry to CRM, VOB to the verification team, admit to the EMR, discharge back to Salesforce.
- Automate the reminders: who is still waiting, who is due for an alumni call, which VOB is still pending.
- Keep the first conversation, clinical judgment and the decision to refer out with people.
- Start where your team re-types the most, such as the send to the EMR.
Why automation matters more in behavioral health
A treatment center admission touches more systems than most sales processes: call tracking, a CRM, insurance verification, an assessment, the EMR, and later an alumni program. Every handoff between them is a place where a patient can stall or a detail can be typed wrong.
Automation in Salesforce is not about replacing the admissions team. It is about removing the copying and the chasing, so the team spends its time on the calls that need a person.
1. Inquiry: get every call, form and text onto the record
The first automation is the simplest. If a call, a web form or a text does not land on a Salesforce record with its source, admissions starts every conversation blind.
- Log calls and texts from your call tracking system (such as CallTrackingMetrics) on the lead, with campaign and source.
- Show inbound text alerts inside Salesforce, and let reps text back from the record with templates and scheduled sends.
- Track text opt-in and opt-out on the record, and block texts to anyone who has not opted in.
2. VOB: stop chasing insurance verification by email
Verification of benefits is where admissions waits the longest, and where status gets lost in inboxes. Automate the request and the record-keeping, not the judgment.
- Pull insurance verification results (for example from VerifyTX) onto the lead.
- Send the VOB request to your external verification team by email, or alert the admissions channel in Microsoft Teams, with the insurance card images attached.
- Track VOB status on the record and send notification emails when it changes.
- Push the VOB PDF into the patient record in the EMR, so nobody uploads it twice.
3. Pre-admission assessment: fill it in once
An assessment completed on paper or in a separate form tool gets re-entered later. Put the form on the Salesforce opportunity and let automation move it.
- A pre-admission assessment form on the opportunity, where admissions already works.
- The completed assessment sent to the EMR as a PDF, on the right tab.
- One menu to send the assessment for clinical review, or to refer the patient out.

4. Admit: one click into the EMR
Re-typing a patient into Kipu or Sunwave is slow, and typos in insurance details cause problems on day one. It is also where a lot of re-typing happens.
- A Send to EMR button on the record that creates the patient with demographics, contacts, insurance and level of care.
- Required fields checked before anything is sent, so incomplete facesheets never reach the EMR.
- Multiple facilities and EMR accounts routed to the right place.
- An admit alert to the team and a welcome email to the patient, from the same record.
5. Discharge: bring the outcome back
Once a patient is in the EMR, the CRM goes quiet unless something brings the outcome back. Without admit and discharge data back in Salesforce, you cannot report lead-to-admit by source, campaign or referral partner.
- Sync admit date, discharge date and discharge type back from the EMR.
- Move opportunity stages automatically when a patient admits or discharges.
- Load historical admits and discharges once, so reports start with full history.
6. Alumni and re-admits: put the program on a schedule
- Create an alumni record automatically at discharge, with an outreach cadence.
- Show the outreach team which alumni are due for a touchpoint.
- Give returning patients a Re-Admit button that starts a new episode on the existing record, instead of a duplicate.
- Report re-admits that came from alumni outreach, so the program can show its value.
What to keep human
Some steps should stay with people on purpose. Automating them saves little time and costs trust.
The first conversation
Automation should make sure someone calls back quickly. It should not replace the call.
Clinical judgment
Automation can route an assessment for review. A clinician decides what it means.
Referring out
Make referring out one click, but leave the decision to the team.
Messages to alumni
Remind people who to call and when. Let the outreach team decide what to say.
Where to start
Start where your team re-types the most. Two good first steps are the send to the EMR and getting admit and discharge data back: the first saves admissions time, the second makes reporting possible.
If you are not sure where the time goes, a free call walks one admission from first call to admit and shows every place a patient or a piece of data falls through.
