In short
- Add one date-time field, Next Step At, and make reps set it every time they plan a follow-up.
- A formula field compares Next Step At with Now() and returns a red, yellow or green emoji.
- The formula works out the color when the record is opened, so no scheduler is needed for the flag on the record.
- Copy the color to a picklist field for list views and filters, and clear the flag on closed or non-qualified records.
Why follow-up flags in Zoho CRM help
A Next Step date on the record is useful only if someone reads it and does the math. A color does the math for them. Red means overdue, yellow means due today, green means planned for later.
An emoji in a formula field shows that color in the record header, in related lists and in reports, with no custom code on the page.
1. Add the Next Step At field
- Create a date-time field called Next Step At on Leads and Deals, or on whichever modules your team follows up from.
- Add a text field for the next step itself, so the date and the plan sit together.
- Put both near the top of the layout, where reps see them first.
Use date-time, not date. A follow-up at 9 am and one at 4 pm on the same day are different promises.
2. Build the emoji formula field
Create a formula field with a String return type. The formula checks the record in order and returns one emoji.
No date
If Next Step At is empty, return a white or gray marker, so a missing plan stands out too.
Overdue
If Next Step At is before Now(), return the red circle.
Due soon
If Next Step At falls inside the window you choose, for example later today, return the yellow circle. Datecomp() gives the gap in minutes.
Planned
Otherwise, return the green circle.
Because the formula uses Now(), Zoho works out the color when the record is shown. Nothing has to run in the background to turn a green flag yellow.
3. Add a picklist copy for list views
Managers want a list view of every red lead. A picklist field filters cleanly in custom views and reports, so keep a copy of the color in a picklist called Follow-Up Flag with the values Red, Yellow, Green and None.
- A workflow rule sets the picklist when Next Step At is created or changed.
- A picklist does not change by itself as time passes, so a scheduled Deluge function moves green to yellow and yellow to red when the time comes.
- Build custom views on the picklist: My Red Leads, Team Overdue, No Next Step.

4. Clear the flag when follow-up stops
A closed deal with a red flag is noise. Add the status to the formula and to the workflow.
- If the lead is Non-Qualified, or the deal is closed, return no flag and set the picklist to None.
- If the record is reopened, the flag comes back from Next Step At.
Tune the follow-up flags with your team
- Agree on what yellow means. Some teams want later today, others want the next business day.
- Check the list views after go-live, so filters and columns match what each team needs.
- Write the rules down in your CRM guide, so new reps know what each color asks of them.
